In the Clopos system, you can import ingredients in bulk.
For this, you need to create a new Excel file and enter the ingredient names, measurement units, and categories in a table.

Creating the Import File

Follow these steps to create the import file:

  • Open MS Excel and create a new file.
  • Add the column names required by the system.

Columns

The columns should be filled in as follows:

  • Name – Enter the name of the ingredient. For example, Flour.
  • Type – Enter "INGREDIENT".
  • Category – Enter the category of the ingredient you want to create. For example, Flour Products.
  • Unit – Enter the measurement unit of the ingredient. For example, kg.
  • Barcode – If the ingredient has a barcode, you can enter it.
💡 Important: Measurement units must be written in English.

Then, enter the names of the required ingredients in the appropriate fields in the ingredient database.
After completing all the steps, you will have an Excel file similar to the example shown below.


To upload the prepared Import File to the Clopos system, go to:
Menu → Ingredients
Then click the Import button.



From the window that opens, select the required file and click Import.

Importing the Menu Using Excel
In the Clopos system, you can import the menu in bulk.
For this, you need to create a new Excel file and enter the product names, prices, categories, stations, and product types in a table.

Creating the Import File

  1. Open MS Excel and create a new file.
  2. Add the columns as shown in the example.

Add your products and Technical Cards to the Excel file according to the example.

Columns

The columns should be filled in as follows:

  • Name – Enter the name of the finished product or Technical Card.
  • Price – Enter the selling price of the product.
  • Category – Enter the category of the product or Technical Card.
  • Station – Enter the place where the product or Technical Card is prepared. A printer should be installed for this station so that orders sent from the terminal are printed at the correct station.
  • Type – Enter the product type. Only DISH or GOODS should be used.
  • Barcode – If the product has a barcode, you can enter it. If it does not have a barcode, you can delete this column.
💡 Important: If the product is a finished product, write GOODS. If it is a Technical Card, write DISH. Otherwise, the Excel file will not be accepted.

Importing Recipes Using Excel
In the Clopos system, you can import Technical Cards in bulk.
For this, you need to create a new Excel file and enter the names of the Technical Cards, measurement units, categories, and other necessary information in a table.
To import a menu item with its ingredients, enter the information in Excel as follows:

  • Name – First, enter the name of the product that will be sold, and then enter the names of the ingredients, products, or semi-finished products used in the recipe.
  • Type – Enter the product type: GOODS, DISH, INGREDIENT, or PREPARATION.

All product types must be written in English and capital letters.

  • If a purchased product is sold without any changes, write GOODS.
  • If it is a product with ingredients, write DISH.
  • If it is used as an ingredient, write INGREDIENT.
  • If it is a semi-finished product, write PREPARATION.

For example, Coca-Cola can be created both as a finished product and as an ingredient. In the first case, its type should be GOODS. In the second case, its type should be INGREDIENT.

💡 Important: The colors shown in the example are only used to separate the products. Do not use colors when preparing the Excel file.


  • Category – Select the category of the products, dishes, and ingredients
  • Station – Station means the place where the products are prepared.

Note: Station should be added only to products and dishes. Do not add a station to ingredients.

  • Price – Enter the selling price of the product. For example: 10, 20, 25.

Note: Price should be entered only for products and dishes.

  • Cost Price – Enter the cost of one unit of the ingredient based on its weight or quantity. For example, if 5 kg of flour costs 2.5 AZN, the cost of 1 kg is 0.5 AZN.
  • GROSS – Enter the quantity of the ingredients used in the recipe. This field should be empty for the Technical Card itself.
  • Unit – Enter the measurement unit of the ingredient, such as kg, l, pcs, m, g.
  • Sold by weight – If the product or dish is sold by weight, enter "1" in the relevant column.
💡 Note: Column names, units, and product types must be written in English.

It is not recommended to add Technical Cards without ingredients to the Excel file where recipes are being entered. Otherwise, the system may create the Technical Card as an ingredient.

After completing the Excel table, go to the Back Office and import the file.

Importing Semi-Finished Products Using Excel

In the Clopos system, you can import semi-finished products together with their ingredients in bulk.
For this, you need to create a new Excel file and enter the names of the semi-finished products, units, categories, and other necessary information in a table.
To import semi-finished products with ingredients into the system, enter the information in Excel as follows:

  • Name – First, enter the name of the semi-finished product, and then enter the names of the ingredients used in it.
  • Type – Enter the product type. If the product is a semi-finished product, write PREPARATION. If it is an ingredient, write INGREDIENT.
  • Category – Select the category of the semi-finished products and ingredients.
💡 Important: If the ingredients already exist in the system, use the exact same name as in Clopos when creating the semi-finished product. This prevents the system from creating the same ingredient as a new product

  • Cost Price – Enter the cost of one unit of the ingredient based on its weight or quantity. For example, if 5 kg of flour costs 2.5 AZN, the cost of 1 kg is 0.5 AZN.
  • GROSS – Enter the quantity of the ingredients used in the semi-finished product. This field should be empty for the semi-finished product.
  • Unit – Enter the measurement unit of the ingredient, such as kg, l, pcs, m, g.
  • Net Output – Enter the total output quantity of the semi-finished product.
💡 Note: Column names, units, and product types must be written in English.

All semi-finished products should be entered one below another in the same format.
The ingredient names used in the recipes must always be written in the same way. For example, if the product is called Carrot, do not write CARROT in one recipe and ROOT CARROT in another. Otherwise, the system will treat them as different products and create both separately in the ingredient database.
After completing the Excel table, go to the Back Office and import the file.
